Sofie Dejus
Assistant Production Coordinator on Waffles + Mochi
Waffles + Mochi is a half-hour series for preschoolers from Jeremy Konner and Erika Thormahlen that will “take young children and their families around the globe on an adventure that tells us the story of our food.”
Sofie Dejus first worked on HBO’s The Sopranos, which revolutionized the television production business and the artistic expectations for the medium.
“It’s almost the only project that I worked on where I was in Post, as a Post Production Assistant. We did a lot of shipping physical footage back and forth to France which is where the creator (David Chase) lived, in a castle.”
Today, Sofie Dejus is a talented Production Coordinator who has worked for many great shows like Hancock, Bosch, Mayans M.C., Transparent and Waffles + Mochi.
We asked how she would define the role of a Production Coordinator.
“We are the hub of the big spider web in all of the productions.”
“We are the hub of the big spider web in all of the productions. We directly deal with casting, editing, hair and makeup, transportation, actors, the producers: everything that happens on set or in the office. We also work very closely with lawyers, vendors, agents and managers. We help produce and distribute all the project’s paperwork. We complete the contracts for the actors through interacting with the lawyers, and overseeing actor signatures before going on camera. If there is an animal on set, we set up contact the Humane Association. It could be anything, any day.”
“The daily organization depends on the show, on the day, on what goes wrong or on how the script is written.”
Typically, if I am the first person in the office, I review 'the football'. That is what we call the large accordion file that comes from Set in the evening and is dropped off on my desk by morning.
I go through that each morning to get all the information that needs to go first to Accounting, then any other department, then our files. It involves a lot of scanning, re naming files and physical distribution - such as deal memos and signed contracts needing approval and distribution to its corresponding guild.
I have a very detailed spreadsheet notating what cast contracts are signed, what contracts have been scanned, where the originals currently are, what goes to the lawyer, what goes to the studio, when that’s happened, etc. That is just one task - and nothing can go wrong!
Everything is urgent, whether it is the 1st or the 14th hour that we are working.
"The best piece of advice I could give to an aspiring Production Coordinator is to always be prepared for the future and to adapt in every situation."
“Working on a film is much easier than working on a TV drama because you have only one script..”
"When you are doing a TV drama, or a half hour show, there are different directors with their own directing teams for each episode so there’s much more paperwork. Working on a film is simpler than working on a TV drama because you have only one script. It’s like working on one long episode.
For each directing team, we have to do their deal memos, as well as (sometimes massive distribution of) their episode’s one liners, day out of days, and shooting schedules. On Waffles + Mochi, we were shooting parts of all kinds of episodes. Day 1 we shot pieces of all 10 episodes alone! I wouldn't have been able to live without SetKeeper. We absolutely couldn't have worked without SetKeeper."
Waffles + Mochi: a Higher Ground, Obama production focused on children eating healthy
"Waffles + Mochi was a very different but wonderful show. It is focused on children and parents. Part of it was documentary, another part scripted but also animation. We even had miniatures sets!
The documentary team went out to 4 or 5 countries. The Obama production company was really focused on children eating healthy. The documentary crew spoke with farmers and chefs. They learned how the food was farmed and produced. We had two puppet hosts named Waffles + Mochi.
It was a very different project in that it was an educational show. Everything else I’ve worked on has been an entertainment show. This one was educational!"
“I wouldn’t have been able to live without SetKeeper.”
SetKeeper is very accessible, even though it is an international platform. There wasn’t a single time when I called in a panic when the team didn’t pick up. Their layout is very easy to learn fast and use so, so efficiently. Also and very importantly, the way that SetKeeper operates internally is amazing and I’ve established solid relationships with all of its team members.
